How to Manage Maintenance Requests Efficiently

How to Manage Maintenance Requests Efficiently: A Step-by-Step Guide for Property Managers

Managing maintenance requests efficiently is essential for keeping your rental property in top condition. It also helps to ensure tenant satisfaction with your rental property. When managed promptly, it reduces tenant frustration, prevents small issues from becoming costly repairs, and maintains the overall value of your rental property.

Here is a Step-by-Step Guide to Streamlining the Maintenance Request Process.

In the State of Georgia, property owners are required to “maintain a safe, habitable property, provide utilities and liable for damages due to neglect” under the Official Code of Georgia’s statutes as of the 2019 Regular Session of General Assembly. In addition, property manages are obligated to keep rental properties in good condition, and respond to maintenance requests in a reasonable time frame.  Here are the steps to make sure that happens.

Step 1 – Create a Clear Process for Submitting Requests

Establish a straightforward and accessible system for tenants to submit maintenance requests. Whether it is through an online portal, email, or a phone call, tenants should know exactly how to request repairs and what information to provide, such as the location and nature of the issue. A standardized process helps ensure requests addressed consistently. In the State of Georgia, a tenant must submit the request in writing. It is not enough to have a simple verbal request.

Step 2- Acknowledge the Maintenance Request Promptly

Responding to maintenance requests, even if the repair cannot be completed immediately, it reassures tenants that their concerns are being addressed. Send an acknowledgment as soon as the request is received. Include an outline of the next steps and an expected time for resolution. This helps manage tenant expectations and reduces follow-up inquiries.

Step 3 – Assess the Urgency of the Maintenance Request

Not all maintenance requests are created equal. Prioritize issues based on urgency. Emergency repairs, like water leaks or heating system failures, should be addressed immediately. These types of requests include things like a roof leak, a broken water pipe, or HVAC repair.

Minor repairs like a loose cabinet hinge, or a broken ceiling fan can be addressed for a later date. A clear system for prioritization ensures that urgent matters are dealt with promptly without neglecting lower-priority tasks.

TIP- Georgia law does not permit tenants to withhold rent, but if you can prove that you gave the landlord notice of the needed repair, but a tenant can sue the landlord in court for failure to repair according to Georgia Legal Aid.

Step 4- Schedule and Communicate Timelines with Tenants.

Once the urgency of the issue, then schedule the repair and inform the tenant of the expected timeline. Make sure to give tenants adequate notice before entering the property for repairs and be transparent if there are any delays. Consistent communication is key to keeping tenants informed and satisfied.

“Georgia rental laws do not specify how long a landlord has to make repairs, but they are expected to make repairs in a “reasonable time” after receiving notice from the renter, which does not have to be in writing.” –AZIBO

Step 5- Coordinate with Dependable Vendors

If the repair requires outside contractors, ensure you are collaborating with trustworthy vendors who can respond quickly and professionally. Establish relationships with dependable maintenance professionals who understand the urgency of tenant requests and can provide timely, high-quality service.

In most cases, as a property manager you are going to want to approve anyone working on your property.  You may want to avoid having your tenant pick the vendor and subtract it from the cost of the rent.  This arrangement is often referred to as “repair and deduct.”  As a property manager, you may also want to select the vendor to make sure they are licensed and insured, as well as meeting code for any repair work required on the property.

Step 6- Follow Up After Completion with Your Tenants

After the repair is completed, check in with the tenant to ensure that the issue has been resolved to their satisfaction. This simple step demonstrates that you care about their comfort and well-being, which can help foster positive tenant relationships and encourage lease renewals.

Step 7- Keep Detailed Records of Your Property Maintenance

Document all maintenance requests, the actions taken, and the time frame for completion. This not only helps track recurring issues but also provides a record in case of any disputes. Proper documentation is also beneficial for long-term property maintenance planning.

It is important to retain the records of your property maintenance in order to protect yourself as the property manager if there is any kind of lawsuit in the future. Protecting yourself and your property requires keeping good records of your efforts to maintain the property. When in doubt, do not throw it out.
